From manual Excel reports to immediate answers about clients and projects
How a service company eliminated hours of manual reporting and stopped relying on a single person to understand its numbers.

48 hours
hours of reporting eliminated per month
-80%
reduction of manual reporting time
0
dependence on key people

Type of company
Professional services firm (agency):
45 employees
Several active clients
Parallel projects
Recurring billing
Tools already implemented: CRM
- Time tracking
- Billing
- Excel to "bring it all together"
The company was doing well , but the same thing happened every month.
The Problem
The data exists, but it's scattered:
Hours on a tool
Customers in another
Billing in another
Margins… in Excel
Each question implies:
Export data
Copy and paste
Adjust formats
Review numbers
And it always depends on the same person .
Nothing is “broken”.
But all of this together slows down the company .
What was built

A simple system was implemented with two ways to interact with the data , adapted to how the company already worked.
1. A chat room for asking questions in natural language
Teams can ask questions like:
“How many billable hours have we had this month per client?”
“Which projects are underperforming?”
“Which clients are generating the most unbilled work?”
“How are we doing compared to last month?”
Without SQL.
Without Excel.
Without asking for favors.
2. A tabular view with the actual data behind it
Behind each answer lies:
Clear tables
Filters
Breakdown by client, project, or person
Ability to export or share
This is key to:
Address
Finance
Confidence in the numbers
Chat helps to understand .
The tables allow validation and operation .

What was NOT built
The CRM was not changed.
Tools were not replaced
The team was not forced to learn anything new.
An “eternal dashboard” was not created
The system connected to what already existed
and adapted to the reality of the company.
The Results
The teams stopped depending on a single person
Data is consulted when needed, not days later
Quick responses to customers, without improvisation
